Terms of Service
The terms of using Knowledge Commons.
These terms cover the Knowledge Commons hosted service at knowledgecommons.ai and its apps. Like our privacy policy, they are written to be read. Effective 2 October 2026.
In short
You own your data. We won’t train models on it, sell it, or share it with anyone, unless the law makes us. We won’t do anything with your data that we’d be embarrassed to explain to our parents. Or yours. All your content is stored and processed right here in Canada.
The rest of this page is the detail, and it’s the part that binds us both.
1. About these terms
These terms are an agreement between you and Goal17, Inc. (“Goal17”, “we”), of Toronto, Canada, for the hosted Knowledge Commons service at knowledgecommons.ai, its web app, its iOS, Android and macOS apps, and its recorders and base stations when they connect to the hosted service (together, the “Service”).
You accept these terms when you create an account, start a trial, buy a plan or use the Service. If you use it for an organisation, you confirm you may bind that organisation, and “you” means both of you.
Our privacy policy explains how we handle personal information and forms part of these terms. A signed order form or agreement with Goal17 overrides these terms where the two differ.
These terms do not cover software you run yourself (a self-hosted deployment or a field processor you own), which comes under the licence supplied with it.
2. Accounts and organisations
You must be at least 16, or the age of majority where you live if higher, to hold an account. Give us accurate details and keep your sign-in secure; you are responsible for what happens under your account, including through Google, Microsoft or Apple sign-in.
The Service is organised into organisations and projects. The owner of a project decides who joins it and in what role (owner, collaborator, participant or guest), and controls its content, its communications and its retention. Organisation administrators have owner-level access to every project in the organisation.
If you join someone else’s project, that project’s owner, not Goal17, decides what happens to what you contribute there. Tell us at once if you think your account has been used without permission.
3. Plans, billing and renewals
Plans. Each plan includes monthly allowances (audio hours, document pages, storage, visual summaries, recorders at once) and features, as shown on the pricing page and in the app when you buy. Allowances reset each calendar month, including on annual plans, and unused allowance does not carry over.
Payment. Prices are in Canadian dollars and exclude taxes, which we add where required. Web purchases are billed through Stripe; we never see your card. Team and Professional are billed per seat, and Team has a three-seat minimum. Plans renew automatically, monthly or yearly, until you cancel.
Beyond your allowance. When you exceed an allowance, work is held rather than lost until you add a booster, buy a prepaid pack or accept overage at the rates shown in the app. Prepaid hour packs are valid for 12 months from purchase and are used oldest first. Overage on annual plans is invoiced when it occurs.
Free trial. A trial needs no card, lasts the number of days shown when you start it, and is limited to one per person. We remind you three days before it ends. It then stops unless you choose a plan; boosters and overage are not available during a trial.
Invoiced accounts. Organisations on an invoiced subscription pay within 30 days of the invoice date. We may hold new processing on accounts more than 30 days overdue.
Cancellation and refunds. You can cancel at any time in Billing; the plan runs to the end of the period you paid for. We do not refund partial periods, except that a first annual purchase may be refunded in full within 14 days if you have used less than 10% of its allowances, and where the law requires otherwise.
Price changes. We give at least 30 days’ notice of a price change. It applies from your next renewal, and you can cancel before it takes effect.
App Store purchases. Subscriptions bought in the iOS app are sold and billed by Apple under Apple’s terms, including renewals, cancellations and refunds. Apple has no obligations for the Service itself.
4. Fair use and no resale
No resale. Plans are for your own work and your organisation’s. You may not resell, sublicense or rent access to the Service, or process recordings or documents for third parties as a paid service, unless you are an approved Knowledge Commons partner or have a written agreement with us. Running your own workshops and meetings, including for clients, and passing the cost on through your own fees or project budgets is fine; letting clients use your account as their own service is not.
Pooled allowances. On seat-based plans, allowances are pooled across the organisation, so heavier and lighter users balance out. Pooling assumes seats belong to real people who use the Service. Seats shared among several people, or created to lift the pool for use it would not otherwise cover, are outside fair use.
Live capture. Plans limit how many recorders can stream live at once. Using several accounts or seats to get around that limit is outside fair use.
What we do. If we believe an account is outside fair use or reselling, we will tell you and give you 14 days to move to a suitable plan or partner agreement. If it continues, we may limit processing on the account or charge at the rates of the plan that fits the use. We will not delete your content for this reason.
5. Your content and recordings
You own your content. Recordings, documents, notes and everything the Service generates from them (transcripts, summaries, reports, visual summaries, graphs) belong to you or the project owner. We claim no ownership.
What you let us do. You give Goal17 a limited licence to store, process, transmit and display your content only to provide the Service to you and the people you share it with, including backups, security and support you ask for. We do not use your content to train models, share it with model providers, or sell it.
Consent of the people you record. You are responsible for having the right to record and process every recording you bring to the Service. That includes telling participants, getting consent where the law requires it (for example, all-party consent for some calls), and respecting anyone who asks not to be recorded. Project owners are responsible for the participants and guests they invite.
Sensitive information. Do not upload health records, payment card numbers or government identifiers unless you need to and have a lawful basis to. The Service is not designed for information subject to specific regulatory regimes (such as HIPAA) unless we have agreed that in writing.
Feedback. If you send us suggestions, we may use them without obligation to you.
6. How we process your content
AI processing. The Service uses machine learning to transcribe, separate speakers, extract ideas, decisions and actions, answer questions, and produce summaries and images. This runs on hardware Goal17 operates in Canada, and nothing is kept on the inference hardware once a job finishes.
Check what it produces. Generated output can be wrong or incomplete: a misheard name, a misattributed statement, a missed decision, an invented detail. It reflects what was said, not whether it is true. Review output before you rely on it or share it, especially for legal, medical, financial or employment decisions. Suggestions such as proposed actions and themes are offered for you to confirm.
Emails the Service sends. A project owner can choose to have the Service email reminders and summaries to project members. Those emails contain project content. Each member can opt out, and images in them are served through links that expire.
Where it lives. Hosted content is stored and processed in Canada and encrypted in transit. Stored content is protected by physical security and access controls, and we are adding encryption at rest to our storage disks. A field processor you run keeps its data on your hardware until you choose to sync it.
7. Acceptable use
Do not use the Service to:
- record people covertly, or where recording is unlawful;
- store or share content that is illegal, infringes someone’s rights, or harasses, threatens or exploits anyone;
- probe, overload or break the Service’s security, or access accounts or data that are not yours;
- scrape or copy the Service, or use it to build a competing product;
- get around plan limits, quotas or technical restrictions, except through the options we offer;
- send spam through invitations, surveys or emails.
We may remove content or suspend access that breaks these rules, as set out in section 9.
8. Availability, security and changes
Availability. We work to keep the Service available and back it up regularly, but we do not promise uninterrupted service unless a written agreement includes a service level. We schedule maintenance outside Canadian business hours where we can.
Security. We protect content with encryption in transit, access controls and backups, and we will notify you without undue delay of a breach affecting your personal information, as the law requires. Keep your own copies of anything you cannot afford to lose.
Changes to the Service. We improve the Service continually and may change or retire features. If we remove a feature central to your paid plan, we will give 30 days’ notice, and you may cancel and receive a pro-rated refund of any prepaid period.
9. Suspension, termination and your data
Suspension. We may suspend access immediately to stop a security threat, unlawful use or serious harm to others. For unpaid invoices or breaches of these terms, we will give notice first and a reasonable time to fix the problem, except where the law or the risk requires faster action.
Ending your plan. When a paid plan ends, the account moves to a read-only state. Your content stays available to view and export for 90 days, after which we may delete it. Backup copies age out within a further 13 months.
Deleting your account. You can ask us to delete your account and content at any time. Content in projects owned by others stays with those projects.
Export. You can export transcripts, documents, reports and table data from the app. Ask us if you need a full export of a project.
10. Warranties, liability and indemnity
No other promises. Apart from what these terms say, the Service is provided “as is”, and to the extent the law allows we make no other warranties, including of merchantability, fitness for a particular purpose, or that generated output is accurate.
Limit of liability. To the extent the law allows, neither party is liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data beyond what backups can restore. Each party’s total liability under these terms is limited to the amounts you paid Goal17 in the 12 months before the claim arose. These limits do not apply to your payment obligations, to either party’s fraud or wilful misconduct, or to your breach of section 4 or 7.
Indemnity. If you are using the Service for an organisation, you will defend Goal17 against third-party claims arising from content you brought to the Service without the right to (including recordings made without required consent), and pay the resulting damages and reasonable costs.
Consumers. If you are a consumer, you keep any rights the law gives you that cannot be excluded, and nothing in this section limits them.
11. Changes, law and contact
Changes to these terms. We will post changes on this page and email account owners at least 30 days before a material change takes effect. If you do not agree, you may cancel before then and receive a pro-rated refund of any prepaid period; continuing to use the Service after that date means you accept the change.
Governing law. These terms are governed by the laws of Ontario and the federal laws of Canada that apply there. The courts in Toronto have exclusive jurisdiction, except that consumers may bring claims where the law of their province gives them that right.
General. If a court finds part of these terms unenforceable, the rest still applies. Not enforcing a term is not a waiver of it. You may not transfer these terms without our consent; we may transfer them to a successor to our business, with notice. Neither party is liable for delays caused by events beyond its reasonable control.
